CAPP: Lessons Learned Moving to an automated degree audit system can be highly beneficial, but many programs contain complex logic that is difficult to encode. This workshop will cover problems that Liberty University experienced while implementing CAPP and demonstrate some practical solutions that helped our implementation go smoothly. Presenters will include a brief overview of the CAPP system, give examples of both simple and complex CAPP encoding, and investigate beneficial/harmful practices uncovered during Liberty University's implementation. Early Student Engagement Via Your Portal In this session we will explore innovative ways to engage your incoming students via the Luminis portal and your Banner student enrollment data. Through the use of Banner and Luminis, you can creatively engage your incoming freshman and transfer students months before their arrival on campus via the integration of traditional and on-line communication strategies. Next Generation Solutions From Blackboard Thank you for the opportunity to present our Product Development and strategy for our entire suite of solutions. At Blackboard we understand that student achievement is at the heart of education. We are focused on how we can enable institutions to deliver the highest quality student experience. And while it comes in lots of forms, at the heart of it is a core process. First, we engage students in the learning experience. Sometimes that happens in a formal way in the classroom. Sometimes it's more one on one, or supporting a student's personal exploration. And we engage students outside the formal curriculum through social learning opportunities on our campuses. Increasingly we are dealing with new demands on the engagement process as we are more global (students from broader geographies, partnering with other institutions, or global competition). And more and more often we are supporting lifelong learning (students who have returned to school later in life; connections between elementary, secondary, post-secondary, and workforce development). And then we have to ask ourselves? is it working? That's where assessment comes in. We can't know if students are learning what they should without assessment. Sometimes that means how a student answered a question of a specific exam. But assessment also ranges all the way up to assessing institutional effectiveness. And it's all interconnected. We can't really know if we're being effective as an institution if we don't have a way of connecting that to what's going on in the classroom or to individual students. It will be our intent to discuss with the group how we will hopefully "engage and assess" students while establishing a deeper partnership with your institution. (Blackboard)
The Basics of Tax Deductible Charitable Contributions and Receipts This session will start with a look at how the tax code talks about gifts, and how that can help Advancement Services departments evaluate specific gifts for federal income tax purposes. We'll look at a number of the most common cases that may or may not be gifts, including use of an automobile, free office space, contributions of catering for a dinner, free legal services, expenses paid on behalf of the organization, out-of-pocket expenses incurred by volunteers, gifts related to sororities and fraternities, and contributions of frequent-flier miles. We'll take a quick look at why IRS publications don't have heading on "Determining the Donor", and touch on a few common cases. Next, we'll turn to situations where the donor gets something in return for their gift, whether that's a dinner, a concert, a key chain, a calendar, a poster, basketball tickets, or anything else! We'll examine special cases including preferred seating at home athletic events and fund-raising auctions. All of these topics come together in gift receipting, and we'll look at both the written acknowledgment and written disclosure requirements, and outline just what needs to go on a receipt (and what shouldn't!). Finally, we'll take a quick look at a few related IRS forms, Including Forms 8283 and 8282, the forms related to non-cash gifts. (University of Richmond)

Integrating Banner with IT Account Management Identity management, roles, de-provisioning, Shibboleth ... all the buzz words in our world today. What do they mean; how do we accommodate and implement? Learn what the College of William and Mary is doing to manage IT accounts with Banner. Banner is our "Director" and drives the creation of all IT person accounts while our in-house Account Database feeds other systems: Active Directory, LDAP, Luminis, email and domain. In this presentation we'll review our overall structure and logic in Banner. Are you in Suspense? Ways to Tame the Suspense File Did my FAFSA get processed yet? How many times have you heard this question and found the school had received the FAFSA but it was mired in the suspense file? What do these messages mean: Duplicate 25 SSN exists on temporary tables 2 or more times, Suspense 28 SSN exists in the database, Suspense Review, Match-R, Match-M, and Match-A. Financial Aid common matching is not a clean or highly automated function. Banner Common Matching Rule sets are primitive at best and the system seems to force labor intensive review of records through the RCRSUSP form. Very simple rules may make a large number of matches, however they may also cause the dreaded FAFSA loaded to the wrong student. UNCW's goal is to reduce labor input as far as possible through intelligent use of rule development supported by automation. This presentation provides an overview of Financial Aid Common matching and rule set up, strategies for determining whether a rule will be productive, automation ideas to assist in handling of duplicates, overviews of suspense table contents and examples of reports to mine the tables for information on common errors (common errors may become drivers for rule or automation development), and real life examples to support the presentation. Financial Aid offices wishing to reduce the labor spent managing the suspense file, and interested in improved service to students are the targeted audience. We hope others that have tamed their suspense files will attend to provide a counterpoint to the presentation with additional school examples of successful process improvement. HR 8.1- Effort Reporting and Labor Redistribution Banner HR 8.1 will be released September 30 and includes effort reporting and labor redistribution as part of employee self service. But these two are very different. These are the first HR modules to be released in the new RIA (rich internet application) user interface architecture and developed using SOA, Adobe Flex and web services. Campus Identity Management- In a Banner World "Security and Identity Management" topped the issues list for the second year in a row. The challenge is that while universities have made great progress in putting common services online, they have not been able to know with assurance who is using those resources. Personal identity breaches number in excess of 200 million data records exposed since January 2005, with significant numbers of these breaches occurring in Higher Education. There are multiple communities of identity within higher education including students, faculty, staff, and affiliates (members that need access to resources but may not be managed by an authoritative HR or student enrollment system). While this adds complexity to the identity problem, it is a common theme across higher education clients. Tagging a Fixed Asset: 3,2,1 Tagging a fixed asset is not as straight forward as it may seem. There are 3 disciplines that are essential in tagging a fixed asset: IT, Finance, and Fixed Asset Management. There are 2 fomats associated with tagging assets: physically and electronically. And, 1 number gets you all the information of any asset. The College of William and Mary has just completed the conversion and implementation process of Banner Fixed Assets. The purpose of this presentation is to demonstrate how the College is working to provide the most accurate fixed asset reporting and accounting database via the Banner Finance Fixed Assets System. DegreeWorks in the Banner UDC DegreeWorks provides academic advising and degree audit services with a graphical user interface (GUI) that is intuitive, easy-to-use, and quick to deploy. As part of the Banner Unified Digitial Campus, Degreeworks uses Banner Student data for dynamic web advising worksheets, educational plans, look-ahead projections, GPA calculators, advising notes, and web-based exception processing. VCU PAC: Developing Key Departmental HR Liasons The VCU Personnel Administrator (PA) serves as the key between each major department and HR. Because many HR functions are decentralized, PAs are expected to develop expertise in HR policy and procedure. The increased emphasis on compliance with State and Federal policies and procedures has impacted the critical role of the PA and warranted the development and implementation of the VCU Personnel Certification Program (PAC). The PAC program provides training on job related policies and procedures, helps create growth opportunities, ensures knowledge to comply with HR related regulations and allows recipients to contribute to their departments and VCU. Using a Standby Database for Reporting and ODS Refresh Purposes William and Mary currently uses Sungard's Operational Data Store(ODS) for its reporting needs. Keeping ODS data current requires a nightly refresh process that uses Banner-database change tables. To minimize refresh time, ensure data integrity/congruency and minimize performance impact on the Banner database, William and Mary created a Banner standby database for the ODS-refresh process. This database is also used to supplement reporting when data within ODS is deficient. This Presentation will discuss William and Mary's refresh/reporting system architecture, how it works (Oracle flashback and the iterative application of production Banner archive logs), and how it could be implemented at your institution.(College of William and Mary)

eVA to Banner Integration- An Overview The eVA to Banner Integration project is part of a Commonwealth of Virginia (COVA) initiative to directly integrate eVA purchase orders into Banner Finance. GMU served as lead testing institution for COVA and was the first to go live with the product in production. Automated Financial Aid Award Notification In this session, we will discuss the pros and cons of financial aid award notifications being sent by U.S. mail and/or e-mail and the technical processes involved. Longwood University's Office of Financial Aid notifies students two ways about their upcoming Financial Aid awards. New students receive an initial award letter by U.S. mail, thereafter by e-mail. Continuing students receive award notifications by e-mail only. The e-mail award notifications direct students to the myLongwood portal where they view and take action on their awards. Certifiably HR This session will explore how to use PPACERT and related forms to track employee development. We set out to track and report on employee development course completion. The primary driver in this implementation is a manageable way to track and report on mandatory annual IT Security Awareness training. Pre-Built Banner Workflows This session will provide an overview of this new SunGard Higher Education service to deliver pre-built Banner Workflows to customers that either don't have the time and/or skill to create their own Banner Workflows or are in the midst of a Banner implementation and want to fast track their Banner Workflow implementation with minimal effort. Unwrapping the ODS and Getting to Aha! This presentation describes how to help functional Banner users understand what an ODS is and how to use it. UMW implemented the ODS and a new reporting tool at the same time hoping to put requests for information from enterprise data into the hands of the people who entered and maintained this data in Banner. Although our users were more than willing to query and report their own data faster, the technical concepts of the ODS and reporting tool were a lot to comprehend at once. Here we share tips on how to help non- technical people get past some of the biggest stumbling blocks like data validation, MGRSDAX , and slot tables and then know what to do next with their ODS.(University of Mary Washington)

Why Isn't It Running? Two (Mostly Good) Years With Banner Finance VCU went live with Banner Finance 7.2 in July 2006, and has had a pretty good experience with the system. There have been a few operational bumps along the way though: finding data issues that crash posting, working through incomplete check runs, fixing encumbrance out-of-balance problems and the like. Not to mention finding and fixing multiple PIDMs, and controlling system access at year-end processing. Simplifying Banner Using the Creation of a Webform At Virginia Tech we have developed a Webform for use by our admissions directors that will enable them to pull up individual applicants by name, check the student's credentials including (MAJOR,GPA,SAT/ACT,RESIDENCY,ETHNICITY,LEGACY, etc). The director can also check the applicant within their high school. (They can even check the decisions that were made from that same high school the previous year.) Decisions can be made on a student, including any comments, which is particularly helpful when decisions are close or maybe even appear inconsistent. The directors can quickly assess decisions ever made on the student (if they had applied for previous term), they can email a student, change the student's class rank, size and GPA. The residency counselor can change the residency from this form also. The form is interactive with Banner. Attendance at this session will allow you to see the form and how it is used most effectively by Undergraduate Admissions.(Virginia Tech)
Banner Change Control and Configuration Management The presentation will detail the change control and configuration management system that UMW utilizes to manage, track and document custom code development, vendor upgrades and patches, as well as other changes to our Banner environment. We will follow the process through from inception, or user request initiation, through production migration completion. Our system has been continually refined and successfully audited over the past couple of years. Multiple PIDM Resolution Tool - GWAPP, Functional Demonstration GW Abolish Pidm Problems (GWAPP) solves the multiple PIDM problem. GWAPP is a sophisticated user-friendly resolution tool that encompasses extraction of all data related to the multiple PIDMs, analysis of the data, auto-generation of a script to merge the data of multiple PIDMs, and a complex approval process involving multiple user departments before deploying the resolution in Production. The tool also provides archiving and reporting capabilities. This presentation is a functional demonstration and was given last year at MABUG and Summit.
